OptiTest Solutions is a business under establishment in Asker, Norway. This Privacy Policy explains how we collect, use and protect personal data submitted through our website, email, customer workflow, quotation process and service delivery.

OptiTest Solutions is the data controller for personal data collected through this website and in connection with our services. Privacy enquiries may be sent to contact@optitest.no.
2. Personal data we collect
We collect only the information reasonably necessary to respond to enquiries, prepare quotations, deliver services and meet business obligations.
- Enquiry data: name, company name, email address, phone number if provided, selected request type and message content.
- Service and project data: project references, route/site identifiers, requested analysis scope, correspondence and supporting documentation.
- Technical test files: where a service request leads to analysis, customers may be asked to submit fibre test files or related documentation via a secure upload link. These files may include OTDR, iOLM, fibre characterisation data, reports, screenshots, spreadsheets or supporting documents.
- Quotation and CRM records: enquiries, quotations, project references, communication history, service status and follow-up notes.
- Invoicing and accounting data: customer or company name, address, organisation number if relevant, invoice details, payment status and accounting records.
- Website and security data: basic technical logs, cookie choices and analytics data where enabled by consent.
3. Why we process personal data
We process personal data to:
- respond to enquiries and contact requests;
- prepare quotations and assess potential service scope;
- provide independent fibre test analysis and related deliverables;
- manage customer records, project status and follow-up;
- issue invoices and maintain accounting records;
- protect the website and business systems from misuse; and
- understand website traffic and improve the website where analytics consent is given.
4. Legal basis
We process enquiry and service data because it is necessary to respond to requests, prepare quotations and deliver services. Accounting information is processed to comply with legal obligations. Security logs and limited customer follow-up may be processed based on legitimate interests. Analytics and non-essential cookies are used only with consent.
5. Forms, email and secure file handling
Website forms are handled by Netlify Forms and sent to our email inbox. Test files are normally not submitted directly through the website forms. Where files are required, we will provide a secure upload link after initial contact.
For file analysis requests, uploaded files are checked for completeness before analysis starts. Analysis begins only after scope, pricing, turnaround and file handling terms have been confirmed in writing.
6. Processors and service providers
We may use trusted service providers for website hosting, form handling, email, file storage, accounting, analytics, cookie consent and internal business administration.
Current providers may include Netlify, Google Workspace, Google Drive, Fiken, TermsFeed and Google Analytics. We do not sell personal data.
7. Fiken and accounting data
Invoice and accounting information may be processed in Fiken for bookkeeping and invoicing purposes. The categories of data may include customer name, company name, address, email address, invoice details, payment status and related accounting information. If integrations are enabled in Fiken, the data exchanged may vary depending on the integration used.
8. International transfers
Some service providers may process or access personal data outside the EEA. Where this occurs, OptiTest Solutions relies on appropriate transfer safeguards such as adequacy decisions, EU Standard Contractual Clauses or other lawful transfer mechanisms.
9. Retention periods
- Enquiry data: up to 12 months.
- Quotation records: up to 24 months.
- Technical project files: normally 12–24 months after delivery unless a shorter period, longer retention or deletion is agreed.
- Customer correspondence: up to 24 months where relevant to support, quotation or project history.
- Accounting records and invoices: retained according to Norwegian bookkeeping requirements.
- Security logs: retained only as long as necessary for security and operational purposes.
10. Data security
We apply appropriate technical and organisational measures, including restricted access, two-factor authentication where available, secure cloud storage and controlled file sharing. Customers should avoid submitting unnecessary personal information or confidential material not relevant to the requested service.
11. Cookies and analytics
We use TermsFeed for cookie consent management. Google Analytics 4 may be used to understand website traffic and improve the website. Analytics and non-essential tracking are loaded only when the visitor gives consent through the cookie banner.
You may update or withdraw cookie preferences using the cookie preferences link in the footer.
12. Your rights
You may request access to your personal data, correction, deletion, restriction of processing, data portability where applicable, or object to processing based on legitimate interests. You may also withdraw consent where processing is based on consent.
