Privacy policy

1. Who to contact

OptiTest Solutions, Norway, is responsible for personal data collected for its enquiries and services. Contact David Cooper at contact@optitest.no for privacy enquiries.

2. Information we handle

• Contact and enquiry information: your name, company, email address, selected service, preferred date, site or route information and message. A phone number is handled if you choose to provide one.
• Project information: test files, project references, measurement results, reports and correspondence required for the agreed work. Files may contain site identifiers or other information provided by the customer.
• Business records: quotations, invoices, payment information and customer correspondence.
• Technical connection information: hosting and form service systems may process request details needed to serve the website, deliver enquiries and prevent misuse.
• Website usage data, only if you accept analytics: pages viewed, menu and link clicks on this website, approximate location, device and browser information, and random identifiers stored in analytics cookies.

3. Purposes and legal basis

We use the information to respond to enquiries, prepare quotations, arrange access, deliver remote analysis, remote testing support and validation, or on-site testing, and provide agreed reporting.

We process information needed to take steps requested before a contract or to deliver an agreed service. For business contact persons who are not themselves party to the contract, our legitimate interest is managing the customer relationship and delivering the requested work. Accounting records are processed to meet legal obligations. Where we rely on consent, you may withdraw it by contacting us; this does not affect processing already carried out lawfully.

Website analytics is based on your consent. You give or withdraw it in the cookie banner or via “Cookie settings” at the bottom of each page.

4. Website enquiries and your email app

If you choose “Send from website”, your name, email address and enquiry details, including your company and selected options, are submitted to Netlify Forms. Netlify stores the submission for OptiTest and supports email notifications to our configured inbox. Spam filtering is applied by Netlify.

If you choose “Use my email app”, the website prepares an email for you to review and send using your own email service. That option does not submit the enquiry to Netlify Forms.

5. Technical files and remote access

The enquiry form is for an initial request; it does not accept test file uploads. Contact us first to agree file transfer, access permissions, confidentiality and any project-specific security requirements. Do not include passwords, sensitive personal data or restricted network information in the enquiry form.

For remote testing support, access to customer equipment is arranged for the agreed work. The customer must authorise access and identify any limits on recording, copying or retaining project data.

6. Service providers and sharing

Service providers may handle information for website hosting, form delivery, email, file storage and business administration. Netlify provides this website’s hosting and direct enquiry form processing, including its spam filtering. Project-specific file handling and any other required recipients are agreed when the work is scoped.

Netlify’s services can involve processing outside the EEA. Its published data processing agreement describes its international transfer arrangements and safeguards. Its subprocessor list describes the providers and processing locations it uses.

We do not sell personal data. We disclose information only where needed to provide the agreed service, meet legal obligations or follow the customer’s instructions. Contact us before sending information that is subject to particular location or transfer restrictions.

Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland) provides Google Analytics and processes analytics data on our behalf, only after you accept analytics. Google may process this data outside the EEA; Google LLC is certified under the EU–US Data Privacy Framework.

7. Retention

• General enquiry records: up to 12 months, unless they become part of an ongoing customer matter.
• Quotations and relevant customer correspondence: up to 24 months.
• Technical project files: normally 12–24 months after delivery, unless another period or deletion arrangement is agreed for the project.
• Invoices and accounting records: for the period required by applicable Norwegian bookkeeping rules.
• Copies held in Netlify Forms are included in the enquiry retention policy above. OptiTest manages deletion of these form records.
• Website analytics data: kept in Google Analytics for no longer than 14 months. The _ga and _ga_* cookies expire after up to 2 years unless you delete them or reject analytics. Your consent choice stays in your browser until you change it or clear your browser data.

Records needed for an ongoing dispute or legal obligation may be kept for as long as that purpose requires. Contact us to agree a shorter project file retention period before work starts.

8. Security

We limit the information requested to what is needed for the enquiry or project. Access and file transfer arrangements are agreed for the service. Customers should share only information that is relevant and that they are entitled to disclose. Contact us promptly if an enquiry contains information sent in error.

9. Cookies and analytics

OptiTest uses Google Analytics 4, provided by Google Ireland Limited, to understand how visitors use this website, for example which pages are viewed and how visitors move between them. Google Analytics is only loaded, and analytics cookies (_ga and _ga_*) are only set, if you choose “Accept analytics” in the cookie banner. If you choose “Reject”, no analytics script is loaded. The legal basis is your consent, and you can change your choice at any time via “Cookie settings” at the bottom of each page. We do not use advertising cookies, and advertising storage is switched off in our set-up. See sections 6 and 7 for Google as a service provider and for retention. Your consent choice is stored in your browser so the banner is not shown on every visit.

10. Your rights

Depending on the processing and applicable law, you may request access, correction, deletion, restriction or portability of your personal data, and object to processing based on legitimate interests. To exercise a right or withdraw consent, contact contact@optitest.no. You may also complain to Datatilsynet, the Norwegian data protection authority.

11. Changes

We update this policy when our services, systems or handling arrangements change. Project-specific confidentiality and file handling arrangements are confirmed separately.
